Helping councils strengthen asset management

Civic.ly is an asset management platform for parish, town and community councils, developed by the team behind Scribe. It brings asset records, mapping, inspections and maintenance tasks together in one place.

Features include AI-assisted asset registration from photographs, inspection checklists, recurring maintenance schedules and a mobile app for recording inspections, reporting defects and capturing photographic evidence on site.

Centralised records can help councils monitor outstanding work and show what was checked, which issues were identified and how they were addressed. Software supports this process alongside appropriate professional inspections, reliable information and management follow-up.

IT services for councils

CloudyIT is an IT services provider working with town, parish and community councils.

Its services include Microsoft 365, managed IT support and .gov.uk domain support, alongside specialist council tools:

  • GovMeetingsFor agendas, meeting papers and minutes.
  • GovRedactFor redacting personal information from documents.
  • GovAssistAn AI platform designed for the council sector.

CloudyIT also provides technology training and ongoing IT support.

Solar power and energy storage

EcoFlow provides portable power stations, solar panels and energy-storage systems. Its products bring together the generation, storage and use of electricity for homes, offices and other settings.

WGW has used EcoFlow DELTA Pro Solar Power Stations since 1 August 2022 to support the solar power supply for our office. This forms part of our approach to reducing the environmental impact of the way we work.

itemit: Digital asset registers for councils

itemit is a cloud-based asset register and tracking platform for organisations that need to know what they own, where it is and what condition it is in.

For town, parish and community councils, itemit can replace separate spreadsheet registers with a single, searchable system that helps keep asset information current. From play equipment and street furniture to IT equipment and grounds-maintenance tools, each asset can have its own digital record containing its acquisition date, recorded value, location, person responsible, condition, photographs, documents and a history of changes.

Authorised staff and volunteers can record inspections, report defects and update asset information from a phone or tablet while on site. Scanning a QR code tag opens the asset’s record immediately. Councils can also provide their auditor with controlled access or export reports to Excel or PDF. This provides a clearer asset register and supporting audit trail for the council’s annual governance, accounting and internal-audit work.

According to itemit, organisations using the platform include Llantrisant Community Council, North Tyneside Music Hub—part of North Tyneside Council—and Gateshead Council.

Accounting systems and practical support

Rialtas provides specialist accounting and administration software for town, parish and community councils across England and Wales. It reports that its work in the sector dates back to 1996 and that it supports over 1,000 councils.

Its range covers councils of different sizes, from smaller parish councils to larger town and community councils, with accounting systems and administrative tools that can be used together.

Alongside software development, Rialtas offers training and support from staff with experience in local government finance, statutory reporting and commercial accounting. Its support desk and solution support engineers help council staff implement systems, work through queries and build confidence in using the software.

Councils can contact Rialtas directly to discuss their requirements or arrange a demonstration. Each council remains responsible for assessing whether a system meets its needs and for maintaining accurate records and effective controls. Accounting and everyday council administration

Scribe provides cloud-based accounting and operational management software designed for parish and town councils across England and Wales. In information supplied to WGW, Scribe reports that it serves over 1,800 councils.

Its applications cover four areas of council administration:

  • Scribe CemeteryGrave management, burial records, exclusive rights, memorials and inspections.
  • Scribe BookingsVenue scheduling, public booking pages, automated communications and calendar management.

Scribe also provides support to council users. Councils can contact Scribe directly to assess which applications and arrangements suit their needs.

Crisis communications and reputation support

Sugar PR provides crisis communications, reputation management and media support for organisations facing sensitive issues or public scrutiny.

Support can include preparing for potential incidents, handling press enquiries, developing clear statements and coordinating communications during and after a crisis. Sugar PR works alongside leadership teams and, where appropriate, legal advisers to help organisations respond calmly and consistently.

A council might seek this support where an incident, dispute or concern creates intense media or community interest. Scope, confidentiality and response arrangements are agreed directly with Sugar PR.
